LCCM is seeking a proactive and detail-oriented Academic Scheduling &Timetabling Coordinator to play a critical role in the coordination and delivery of academic timetabling and assessment operations. Reporting to the Programme Administration Manager, this position supports the academic cycle from module scheduling to assessment tracking, ensuring accurate information and high-quality service to students and staff. The post-holder will work collaboratively with academic departments, the wider administration team, and external partners to ensure efficient processes that support student success and academic integrity.
Key responsibilities Timetabling and Scheduling - Coordinate the planning, production, and publication of timetables each semester in collaboration with academic registry and programme leaders.
- Manage ad hoc room bookings, last-minute changes, and timetable updates, ensuring minimal disruption.
- Liaise with facilities and IT to ensure teaching spaces are suitably equipped and fit for purpose.
- Work with stakeholders to optimise resource usage and room allocations.
Assessment Coordination - Support the setup, scheduling, and administration of assessments, ensuring timely and clear communication of deadlines, formats, and submission processes.
- Administer and track submission of coursework, exam papers, and assessment results via VLE and student information systems.
- Assist in the preparation and servicing of assessment, internal/external verification and examination boards, including collation and distribution of mark sheets and board outcomes.
- Ensure accurate and secure recording of student marks in line with academic regulations and data protection requirements
- Ensure all assessments are within UK, partner and internal academic quality standards
Data and Systems Management - Maintain and update student records related to timetables and assessments, ensuring accuracy and consistency.
- Use timetabling software and student information systems to produce reports for internal and external stakeholders.
- Support continuous improvement of systems and processes by identifying inefficiencies and proposing solutions. Student and Staff Support
- Act as the first point of contact for timetable and assessment-related queries from students and staff.
- Provide clear and timely guidance on assessment policies, deadlines, procedures, and academic regulations.
- Deliver briefings and induction sessions for staff and students on timetable tools and assessment protocols.
Quality Assurance and Compliance - Ensure timetabling and assessment practices align with institutional policies and external quality assurance frameworks.
- Assist with audits, reviews, and reporting requirements related to timetabling and assessment data.
- Maintain appropriate records and documentation in line with GDPR and academic policy. Collaboration and Communication
- Work closely with the Administration Team, Registry and teaching departments, and external examiners to ensure smooth operation of assessment processes.
- Represent the administration team at relevant internal meetings, contributing to the development of academic services.
Knowledge & Skills
Essential : - Demonstrable ability to manage complex scheduling, meet deadlines, and prioritise tasks effectively
- Understanding of assessment cycles, academic regulations, and quality assurance processes
- Strong written and verbal communication skills, with the ability to convey complex information clearly to various stakeholders.
- Proficiency in Microsoft Office suite, VLE and other relevant timetabling apps and systems
- Ability to collaborate effectively with various stakeholders, including academic staff and students.
Desirable : - Experience in coordinating class schedules and timetables
- Experience with the administration of assessments and examinations in an academic setting.
- Previous experience providing support to students in an academic context.
- Understanding of quality assurance standards in higher education
- Experience with Canvas LMS, Turnitin • Experience troubleshooting or configuring timetabling systems
- Proven ability to engage effectively with diverse stakeholders within an academic community
- Experience working with multiple departments and tight turnaround times
Education/Qualifications
Essential : - A relevant degree or equivalent professional experience in education or student support
- Strong experience in an administration or team support role
Desirable : - A Music or Music Business qualification or relevant sector experience
